Job Title: Programs and Outreach Coordinator

Under the direction of the Chief Executive Officer, the Outreach Coordinator is responsible for overseeing all aspects of volunteer participation, including training, supervision, and scheduling special event planning, coordination, organisation and promotion; public relations development through community education, involvement and support other administrative tasks.
Job period: 3rd December 2012 to 2nd December 2013 (Duration can be Extended)


1. Volunteer Recruitment and Training
ï Research and determine volunteer needs for respective seasons
ï Establish relationship with volunteer programs from universities, clubs, civic groups, etc.
ï Investigate and post opportunities on various volunteer websites
ï Review and prepare appropriate application materials for mailing or website posting
ï Attend and/or present at relevant trade shows, volunteer fairs and organisations
ï Determine and schedule training session dates
ï Review and update volunteer training manual with appropriate changes
ï Update and produce required training materials, handouts, records, etc.
ï Review all returned applications for completion and signatures
ï Coordinate with Program Director

2. Volunteer Supervision and Scheduling
ï Oversee volunteer compliance with policies and procedures
ï Evaluate and document volunteer skills during and after training programs
ï Communicate with Program Director to determine action for non-compliant volunteers
ï Review volunteer lesson documentation for accuracy and appropriateness
ï Provide on-site surveys and review of programs
ï Review and coordinate volunteer status with Program Director
ï Schedule daily staff member to assist with Volunteer Coordination duties
ï Plan, organize and implement volunteer recognition party

3. Special Events
ï Direct events through formulation, organization, sponsorship, execution, recognition, and evaluation
ï Establish and supervise committees as needed
ï Determine sponsor list of respective event through contacts, past history, interest, etc.
ï Strategize methods to retain existing supporters and assess markets to establish new support resources
ï Ensure efficiency and cost effectiveness through in-kind donations and volunteers

4. Public Relations
ï Develop press releases, brochures and other public relation materials
ï Provide public presentations and demonstrations to potential support groups
ï Attend and/or present to potential clients, facilities, sponsors

ï Masters degree in related field
ï Two years experience in special event development and promotion
ï One years experience in staff/volunteer management and supervision
ï Refined written skills and articulate public speaking ability
ï Exemplary organizational acumen with well developed multi-tasking skills
ï Proficient use of Microsoft Word, Access, Excel and desktop publishing programs
ï Age (20 – 35)
